Dealership Appointment No-Shows: How to Get More Car Buyers to Show Up

Dealership Appointment No-Shows: How to Get More Car Buyers to Show Up

To reduce dealership appointment no-shows, set a specific time to see a specific car with a named salesperson. Confirm it four times: when it is set, the day before, the morning of and one hour before. Hold the vehicle, prepare before the customer arrives, and contact every no-show within an hour.

The gap is large. A Foureyes study of about 700 US dealerships found that internet-lead appointments showed 56% of the time for new vehicles and 50% for used. Phone-up appointments showed 62% to 63% of the time. In other words, 44% to 50% of internet appointments did not show. Most of the reasons can be fixed before the appointment time.

What is a good dealership appointment show rate?

Show rate is the share of set appointments where the customer actually arrives:

Show rate = appointments shown ÷ appointments set × 100

Example: a store sets 200 internet appointments in a month and 104 customers arrive. 104 ÷ 200 × 100 = a 52% show rate. Count only appointments with a date and time. Count a rescheduled appointment once, on the date it finally happened or failed.

Maritz lists a show rate range of 40% to 80% and says an internet appointment show rate "should be well over 40%." A store under 50% on internet appointments has room to improve. A store near the top of the range is likely confirming well and setting firm appointments. These benchmarks are US figures, but the same math works for dealers in Canada, India or anywhere else.

Why do car buyers miss dealership appointments?

Many no-shows trace back to how the appointment was set, not to an unreliable customer.

When should a dealership confirm an appointment?

Confirm at four points, and give each touch one job. Use the channel the customer used or asked for. Send texts only with consent.

WhenChannelPurpose
At setText or email, same conversationPut the time, car, person and address in writing
Day beforeText, plus a short personal video if you have oneConfirm the car is held and ready; offer an easy reschedule
Morning ofTextConfirm the time; ask for trade details or documents to bring
One hour beforeText or callFinal reminder with parking or arrival instructions
Here are four plain templates. Replace the brackets and keep them short.
  1. At set. "Hi [First name], this is [Rep] at [Dealership]. You're booked for [Day, date] at [time] to see the [year make model], stock [number]. I'll have it ready for you. [Address]. Reply STOP to opt out."
  2. Day before. "Hi [First name], [Rep] here. The [model] is held for you tomorrow at [time]. If the time no longer works, reply with a better one and I'll move it."
  3. Morning of. "Good morning [First name]. See you at [time] today. If you're trading in, bring the title or payoff details and both keys so the appraisal is quick."
  4. One hour before. "Hi [First name], the [model] is pulled up out front. Park by the showroom entrance and ask for [Rep]."
Text only customers who have agreed to receive texts, and respect quiet hours in the customer's time zone. In the US, federal rules bar telephone solicitations to residential subscribers before 8 a.m. or after 9 p.m. local time. Some states are stricter: Florida bars commercial telephone solicitation calls "before 8 a.m. or after 8 p.m." Canada and other markets have their own rules. Our guide to automotive text messaging covers consent in more detail. This is general information, not legal advice, so check your process with your compliance counsel.

How do you hold the car and prepare before the customer arrives?

A held car gives the customer a reason to come on time. Mark the unit as on hold in your inventory system or dealer management system for the appointment window. Tell the buyer in writing. Agree internally how long the hold lasts after a missed appointment.

Then prepare so the visit takes less time than the buyer expects:

Tell the customer each of these is done. "Your car is out front and the paperwork is started" gives them a concrete reason to show up. Clean white SUV parked at a dealership showroom entrance with a salesperson waiting beside it

Do personalized video confirmations help?

We are not aware of an independent study that measures the effect of personal video on show rate. So measure it yourself: send video confirmations to half of your appointments for a month and compare show rates.

The reason to try it is simple. A 20-second video from the rep who will meet the customer, standing next to the held car, answers two of the causes above at once. The buyer knows who to ask for, and sees the car is still there.

HelloRamp Engage, the sales video product from HelloRamp.ai, sends that video as one branded link by text, email or direct message. The rep can record on camera with the car, or use an AI avatar over the car's photos and video. Engage also alerts the rep the moment the customer watches. That alert is the practical part. Customers who watched the day-before video are likely still planning to come. The ones who did not watch are the ones to call first.

What should you do when a customer no-shows?

Act fast, then follow a set process:

  1. Within one hour. Call, then text if there is no answer. Keep it friendly and practical: "Hi [First name], I had the [model] ready at [time]. Did something come up? I can hold it until [time] today or set a time tomorrow." Some no-shows are running late or had a conflict, and will rebook if asked right away.
  2. Within 24 hours. Make a second attempt with something new, such as a short video of the car or an answer to a question they asked earlier. Record the reason for the no-show in the CRM if you learn it. Release the vehicle hold at the time you agreed internally, and tell the customer when it is released.
After that, move the lead into your normal follow-up process. If your store runs a business development center, our automotive BDC guide covers how those follow-up tasks are assigned.

How do you track show rate by lead source and rep?

A single store-wide show rate hides the causes. Break it down in your automotive CRM by:

A hypothetical example: if website leads show at 58% and a listing site shows at 41%, the fix may be setting more specific appointments for that source, not buying fewer of its leads. To see how show rate turns into daily sales, read our breakdown of how many cars dealerships sell a day.

Frequently asked questions

What is a good show rate for dealership appointments?

In a Foureyes study of about 700 US dealerships, internet appointments showed 56% of the time for new vehicles and 50% for used, and phone-ups 62% to 63%. Maritz gives a range of 40% to 80%, so an internet show rate above 60% is better than average.

How do you calculate dealership appointment show rate?

Divide the number of appointments where the customer arrived by the number of appointments set in the same period, then multiply by 100. For example, 104 arrivals from 200 set appointments is a 52% show rate. Count a rescheduled appointment only once.

When should a dealership send appointment confirmation texts?

Send four touches: when the appointment is set, the day before, the morning of and about one hour before. Text only customers who agreed to receive texts, send within permitted hours in their time zone, and confirm your texting process with compliance counsel.

What should a salesperson do right after a customer no-shows?

Call within an hour, then text if there is no answer. Ask whether something came up and offer to hold the car until later that day or book a new time. Make a second attempt within 24 hours with something new, such as a short video of the car.

Do personalized videos increase dealership appointment show rates?

No independent study we know of measures it, so test it: send video confirmations to half of your appointments for a month and compare show rates. A video from the rep beside the held car shows the buyer who to ask for and that the car is still there.
