Automotive Text Messaging: Rules, Templates and a 14-Day Follow-Up Plan for Dealers

Automotive text messaging is how dealerships use SMS, and sometimes WhatsApp, to reply to car shoppers, follow up on leads, confirm appointments and send vehicle details. It is a common reply channel, and it is also regulated: federal rules, carrier requirements and some state laws decide when you can text, who you can text and how people opt out.
This guide covers the rules in plain terms first, then five first-message templates, a 14-day follow-up plan, Spanish-language texts, WhatsApp and when a video link beats a plain text.
What texting rules do car dealers need to know?
The rules below are the US ones. In Canada, the CRTC's telemarketing rules and Canada's anti-spam law (CASL) apply instead, and other markets have their own. This is general information, not legal advice; check your texting program with your compliance counsel.
- Quiet hours. Federal TCPA rules bar telephone solicitations to residential subscribers "before the hour of 8 a.m. or after 9 p.m. (local time at the called party's location)" under 47 CFR 64.1200. Use the shopper's time zone, not the store's.
- Consent for marketing texts. Telemarketing calls or texts sent with an autodialer or prerecorded voice to wireless numbers require "prior express written consent" under the same rule. Keep a record of how and when each lead gave it.
- Opt-outs. Under the same rule, a reply of "stop," "quit," "end," "revoke," "opt out," "cancel," or "unsubscribe" revokes consent, and revocation requests must be honored "within a reasonable time not to exceed ten business days." Other wording counts too if a reasonable person would read it as an opt-out. One confirmation text is allowed; nothing after it.
- The one-to-one consent rule is gone. On January 24, 2025, the 11th Circuit vacated the FCC's one-to-one consent rule days before it took effect. The FCC removed the vacated language from its rules effective August 29, 2025.
- Carrier registration. "Anyone sending SMS/MMS messages over a 10DLC number from an application to the US must register for A2P 10DLC," according to Twilio's A2P 10DLC documentation. Unregistered traffic pays additional carrier fees, and registered traffic gets lower filtering and higher throughput.
- Conversational, informational and promotional texts. Under CTIA's Messaging Principles and Best Practices, when the shopper starts the conversation and you simply respond, "no additional permission is expected." A shopper who gives you a number and asks to be contacted, like a website form lead, has agreed to texts for that purpose. For promotional texts, "the Consumer should agree in writing." CTIA also asks senders to act on plain-language opt-outs such as "stop, end, unsubscribe, cancel, quit."
- Florida is stricter. Fla. Stat. 501.616 bars commercial telephone solicitation calls "before 8 a.m. or after 8 p.m." and more than three in a 24-hour period on the same subject matter. Under Fla. Stat. 501.059, which covers text messages, a seller must stop text solicitations within 15 days after a STOP reply. The simple policy for Florida numbers: text inside 8 a.m. to 8 p.m. and stop the moment a shopper opts out.
What should a first text to a car lead say?
A good first text does four things. It says who you are and where you work, names the exact vehicle, answers the question if there was one, and offers one clear next step. Keep it short enough to read on a lock screen, and include opt-out language in the first message. Only say a car is available after you have checked the lot.
1. Marketplace inquiry
"Hi [First name], this is [Rep] at [Dealership]. Thanks for asking about the [year, model, trim] on [marketplace]. It's here and available today. Want a short video of it, or a time to see it in person? Reply STOP to opt out."
2. Website form
"Hi [First name], [Rep] from [Dealership] here. I got your request on the [model], stock #[number]. Is there anything specific you want me to check, like tires, service records or features? Reply STOP to opt out."
3. Trade-in
"Hi [First name], this is [Rep] at [Dealership]. Thanks for sending your [trade year, model]. To give you a real number, can you share the mileage and two or three photos? Or bring it by at [time] and we'll appraise it in person. Reply STOP to opt out."
4. Price question
"Hi [First name], [Rep] at [Dealership]. The [model] is advertised at [price]. I can send you the full out-the-door breakdown with all fees so there are no surprises. Would you like that by text or email? Reply STOP to opt out."
5. After-hours
"Hi [First name], this is [Dealership]. We got your message about the [model] after closing. [Rep] will reach out at [opening time] tomorrow. If you'd like a time to visit, reply with a day that works. Reply STOP to opt out."
Why do internet leads go cold?
In most cases the shopper stops replying for one of three reasons.
- The first personal reply was slow or never came. In Pied Piper's 2025 Internet Lead Effectiveness study of 4,023 dealerships, 19% of dealerships failed to personally respond to website customers. Our guide to AI for dealership lead management covers response speed in depth.
- The reply was generic. A form letter that does not mention the vehicle or answer the question gives the shopper nothing to respond to.
- There was no next step. A message without a question or an offer ("want a video?", "does 5:30 work?") ends the conversation.
How many times should you follow up with a car lead?
There is no single correct number, but a structured plan beats random check-ins. The plan below uses up to ten contacts on seven separate days within 14 days, never more than three in a day. It stops the moment the shopper opts out, buys or asks for a different time.
| Day | Channel | Purpose |
|---|---|---|
| 0 (first minutes) | Text, then call | Confirm the vehicle is available and offer a video or a visit time |
| 0 (same evening) | Full details, photos and total price breakdown for reference | |
| 1 | Call, text if no answer | Answer open questions and propose two appointment times |
| 2 | Text with video link | Show the actual car so the shopper has a new reason to reply |
| 4 | Text | Ask one direct question: still shopping, found something, or timing changed? |
| 7 | Call | Live conversation with a similar vehicle ready if the first one sold |
| 10 | Text | Share something new: price change, a similar unit or trade value |
| 14 | Text | Last check-in; ask whether to keep in touch, then move to long-term follow-up |
How do you text Spanish-speaking car buyers?
About 44.9 million people age 5 and older spoke Spanish at home in the US in 2024, about 1 in 7, according to USAFacts using Census Bureau data. And Pew Research Center found 75% of US Latino adults say they can carry on a conversation in Spanish pretty well or very well (survey fielded in August 2022).
The practical steps: ask for language preference on your lead forms, route Spanish-language leads to a fluent rep, and have a native speaker review every template instead of relying on machine translation alone. Honor opt-outs in both languages.
First reply in Spanish
"Hola [Nombre], le saluda [Rep] de [Concesionario]. Gracias por su interés en el [año, modelo]. Está disponible hoy. ¿Le gustaría ver un video corto del vehículo o prefiere agendar una cita? Responda STOP o BAJA para no recibir más mensajes."
Follow-up in Spanish
"Hola [Nombre], soy [Rep] de [Concesionario]. ¿Todavía está buscando un [modelo]? Le puedo enviar el precio total con todos los cargos y un video del vehículo. ¿Qué día le queda mejor para venir, el [día] o el [día]? Responda STOP o BAJA para no recibir más mensajes."
Should dealers use text, WhatsApp or video?
Some buyers prefer WhatsApp because it is the app they already use every day with family and friends. The simplest approach is to ask: "Do you prefer text or WhatsApp?" If they choose WhatsApp, message from a WhatsApp Business account rather than a rep's personal number and record the opt-in. Check Meta's current WhatsApp Business policies, and ask counsel how your consent rules apply there.
Text versus video is not an either-or choice. A plain text is fastest for yes-or-no questions and scheduling. A short video that shows the real car and the rep's face gives a quiet shopper a reason to answer. The practical format is a video link inside a text, so the shopper stays in the channel they chose.
HelloRamp.ai built HelloRamp Engage for that format. A rep records a personalized video reply on camera, or makes one with their AI avatar, in about 10 seconds and sends it as one branded link by text, email or direct message. Reps can keep a Spanish-language avatar alongside their showroom and service-lane avatars, and attach the car's walkaround from HelloRamp Studio. Engage alerts the rep the moment a lead watches, and smart nudges tell them when to call next. Individual reps can use it on their own through Engage for reps.

Frequently asked questions
What time can a car dealership text customers?
Federal TCPA rules bar telephone solicitations before 8 a.m. or after 9 p.m. in the recipient's local time. Florida's law sets 8 a.m. to 8 p.m. for commercial solicitation calls. Use the shopper's time zone, check each state you sell into, and confirm your program with counsel.
Do dealerships need consent to text car leads?
Marketing texts sent with an autodialer to cell phones need prior express written consent under federal rules. CTIA guidance says a reply to a shopper who texted first needs no extra permission, while promotional texts need written agreement. Keep a record of how each lead consented.
How soon should a dealership stop texting after a customer replies STOP?
Stop right away. Federal rules treat replies such as stop, quit, end, revoke, opt out, cancel and unsubscribe as revoking consent, and require honoring it within ten business days. Florida requires stopping text solicitations within 15 days. Stopping immediately is the safest practice everywhere.
Can car dealers use WhatsApp to follow up with leads?
Yes, when the shopper prefers it. Ask which channel they want, message from a WhatsApp Business account rather than a personal number, record the opt-in, and check Meta's current WhatsApp Business policies. Ask counsel how your consent rules apply to WhatsApp messages.
What should a dealership text to a Spanish-speaking lead?
Reply in Spanish with the rep's name, the dealership, the exact vehicle and one next step, such as a video or an appointment time. Route the lead to a fluent rep, have a native speaker review templates, and honor opt-outs in both languages.
