Automotive BDC: What a Dealership BDC Does, How to Staff It and What to Measure

Automotive BDC: What a Dealership BDC Does, How to Staff It and What to Measure

An automotive BDC (Business Development Center) is the dealership team that answers internet leads and phone calls, follows up with shoppers who have not bought yet, and books appointments for sales or service. Its job is to turn inquiries into scheduled visits. Salespeople then spend their floor time with customers who are ready to come in.

Some stores run a BDC of one person. Large dealer groups run centralized teams of dozens. This guide covers what a BDC does, whether to build one in-house or use an outside provider, the benchmarks worth tracking, and three phone scripts your agents can adapt.

What does a BDC do at a car dealership?

A BDC agent's day usually splits into three kinds of work:

There are two common types. A sales BDC works vehicle leads and books test drives and sales appointments. A service BDC books service appointments, handles recall and maintenance reminders, and calls customers whose vehicles are due. Many stores start with sales and add service later. Others run one team that covers both with separate queues.

The BDC does not replace the salesperson. It owns the first conversation, which is about a clear answer and a set time. The salesperson owns the in-store work: test drives, appraisals and deal structure.

Should you build an in-house BDC or hire an outsourced BDC company?

Automotive BDC companies and automotive call center services supply agents who answer and follow up on your leads under your dealership's name. The choice between that and an in-house team comes down to control, cost structure and coverage hours.

In-house BDCOutsourced BDC or call center
Product knowledgeAgents can walk the lot and see the carsRelies on your inventory data and notes
HoursLimited to your staff scheduleOften covers evenings and weekends
Hiring and turnoverYour burden: recruiting, training, replacingProvider handles staffing
Cost structureSalaries, benefits, pay plans, management timeContract fee, often per lead, per appointment or monthly
Handoff to salesWalk across the roomDepends on CRM notes and process
Quality controlYou hear every callYou rely on recordings and reports
Brand voiceEasier to keep consistentNeeds scripts and regular review
A common middle path: an in-house team during business hours and an outside service for after-hours calls and overflow. Whichever you choose, the KPIs below apply. You should be able to see them by agent and by lead source.

What KPIs should a dealership BDC track?

A typical sales BDC has agents who work leads and a BDC manager who sets daily priorities, reviews calls and reports results. The core KPIs are appointment set rate (appointments set as a share of leads), show rate (appointments that arrive) and close rate (sales from those leads or shows).

Published benchmarks give a range to compare against:

The Foureyes 2025 study covers Q4 2024 through April 2025. The Foureyes 2024 study covers about 700 US dealerships in the second half of 2023. Maritz publishes ranges rather than averages. Each source defines its rates a little differently, so compare against the one that matches how your CRM calculates them.

Beyond those three, BDC managers usually track first-response time, contact rate (leads reached in a live conversation), calls and messages per agent per day, and appointments per agent. If show rate is your weak spot, our guide to reducing dealership appointment no-shows goes deeper. The short version: confirm the day before and again on the day.

Why do phone leads convert better than internet leads?

The data first. In the Foureyes 2025 figures, phone leads set appointments at about 75%, compared with 40% for internet leads. In the 2023 data, phone-ups also showed more often: 62% to 63%, against 50% to 56% for internet leads. Once customers were in the store, close rates were about the same for both, at 40% to 42%. The phone advantage is in getting the appointment and getting the customer to show.

Why that happens is interpretation, not something the studies measured. The likely reasons are practical:

The lesson for a BDC: move internet leads toward a real conversation as fast as the shopper allows, whether that is a call, a text exchange or a personal video. BDC agent on a phone call taking notes on a paper pad next to a keyboard at a dealership desk

What are good automotive BDC phone scripts?

These are starting points. Agents should use their own words, answer the question asked, and never promise a price or payment they cannot confirm.

1. Inbound price inquiry

"Thanks for calling [Dealership], this is [Name]. Which vehicle are you looking at? ... Great, the [year, model] with [mileage] miles. The advertised price is [price], and I can go over the fees on that with you now so you have the full number. Is this the vehicle you want to see in person, or are you comparing a few? I have [time] today or [time] tomorrow to have it pulled up front for you. Which works better?"

2. Missed-call callback

"Hi, this is [Name] from [Dealership]. We missed a call from this number at [time] and I wanted to make sure you got an answer. Were you calling about a vehicle, service or something else? ... I can help with that now. Is this still a good number if we get disconnected?"

3. Aged lead re-contact (30 to 90 days)

"Hi [First name], this is [Name] at [Dealership]. You asked about the [model] back in [month]. I'm calling to check whether you're still shopping or already found something. ... No problem at all. If you're still looking, we have [number] similar vehicles in stock right now. Would it help if I sent you a short video of one?"

Each script identifies the agent and dealership, answers first and asks for the appointment second. Before any outbound call or text campaign, confirm you have the consent your use requires and that the number is not on a do-not-call list. In the US that means the TCPA and the National Do Not Call Registry. In Canada, the CRTC's telemarketing rules and Canada's anti-spam law (CASL) apply. Our guide to automotive text messaging covers texting rules in more detail. This is general information, not legal advice; check with your compliance counsel.

How can a BDC handle high internet lead volume?

When leads outnumber agents, triage beats working the queue in arrival order. A simple three-tier method:

TierSignalsFirst action
1Specific stock number or VIN, phone number provided, trade or finance questionCall now, then text if no answer
2Specific model but no phone number, or a marketplace chatPersonal reply by text or email with the vehicle and a next step
3General inquiry, no vehicle namedReply with two or three matching vehicles and a question
Response speed matters at every tier. Our guide to AI for dealership lead management covers speed to lead in depth. Pied Piper's 2026 Internet Lead Effectiveness study of 3,290 dealership websites found that dealers answer a "typical" inquiry within 24 hours 78% of the time on average. That rate drops to 51% when customers ask more complex questions. Those complex questions are where a trained agent earns their seat.

To convert more internet leads without hiring more agents, take the repetitive work out of each reply. Two tools help: AI-drafted first replies that an agent checks and edits instead of writing from scratch, and short personal videos that show the actual car. With HelloRamp Engage, a BDC agent can send a personalized video reply in about 10 seconds, either from the agent's AI avatar or as a dual-camera recording of the agent and the car. It goes out as one branded link by text, email or direct message. Stores that capture inventory with HelloRamp Studio can also send its walkaround videos from the Engage library.

Engage alerts the agent the moment a lead watches, so the most engaged shoppers get called first, and smart nudges prompt the next follow-up. HelloRamp.ai platform data (as of August 2026) shows a 26% higher customer reply rate with video. Managers can compare videos sent, response times and engagement by agent on leaderboards.

Frequently asked questions

What does BDC stand for at a car dealership?

BDC stands for Business Development Center. It is the dealership team that answers internet leads and sales or service calls, follows up with shoppers who have not bought, and books appointments so salespeople and service advisors spend their time with customers who are ready to visit.

What is the difference between a sales BDC and a service BDC?

A sales BDC works vehicle leads and books test drives and sales appointments. A service BDC books service visits, handles maintenance and recall reminders, and calls customers whose vehicles are due. Some dealerships run one team covering both, with separate queues and KPIs for each.

Should a dealership outsource its BDC?

Outsourcing makes sense when you need evening and weekend coverage or cannot keep agents staffed. An in-house team gives more control over product knowledge, call quality and handoffs. Many stores combine both: in-house agents during business hours and an outside service for after-hours calls and overflow.

What is a good appointment set rate for a dealership BDC?

Foureyes data from Q4 2024 to April 2025 shows a 40% set rate for internet leads and about 75% for phone leads. Maritz gives an internet set rate range of 10% to 40%. Compare against the source that defines the rate the same way your CRM does.

What does a BDC agent do all day?

A BDC agent answers new internet leads and inbound calls, makes follow-up calls and texts to leads without an appointment, re-contacts aged leads, confirms upcoming appointments and logs every conversation in the CRM with notes for the salesperson who will meet the customer.
